What is capture in AI task management?
Capture is turning meetings, voice notes, messages, and files into structured to-dos. Sources, accuracy, and what happens after capture.
Capture is how work gets into a task tool. You record a meeting, dictate a voice note, paste a message, or drop in a file, and the tool turns it into real tasks with owners and due dates. The original source stays linked to the task, so anyone working on it can see where it came from.
What it means
Capture has three parts. Intake is what the tool accepts: meetings, recordings, voice notes, chat messages, documents, files, or typed notes. Extraction is the hard part: figuring out which sentences are commitments, who owns each one, and when it's due. Attachment is the part most tools skip: keeping the source connected to the task so you can go back to the exact words later.
What happens after capture is what separates products. Some stop at a clean list you still work through yourself. Others hand the task to an agent that drafts the follow-up or files the ticket.
Example
A call ends with four commitments buried in the conversation. Capture turns the first three into to-dos with owners and dates, each linked to the moment in the transcript where it was said. The fourth is ambiguous, so it's flagged for you to keep or delete. Later, when you're sending the follow-up, you can replay the exact sentence where the discount was agreed and get the number right.
