12 best AI task managers in 2026 (compared)

The best AI task managers in 2026, split into schedulers, notetakers, and agents that finish work. Criteria, pricing, and which type you need.

AI task managers come in three types. Planners organize and schedule your tasks (Motion, Bond). Notetakers capture meetings and voice into searchable records (Saner.ai, Superlist, Todoist). Executors actually do the follow-up work, drafting emails, filing tickets, updating records, and pausing for your approval before anything goes out (Doozy, ClickUp, Lindy, and others).

Pick a planner if you just need tasks on your calendar. Pick a notetaker if action items keep dying after meetings. Pick an executor if you want the follow-through done for you.

What to look for

  • What it captures work from. Meetings, voice, chat, files, or just what you type in.
  • Where it can act. Just a to-do list, or connected apps like email, chat, and project trackers.
  • Whether it asks before acting. An approval gate where you review what the agent is about to do.
  • Whether you can bring your own keys. This decides who pays for the AI and whether a real free tier is possible.
  • How other AI tools can reach it. MCP, a CLI, or an API. This decides whether Claude Code or Cursor can use the same workspace.
  • Whether meeting recording is built in. A native recorder vs depending on a separate tool.
  • What the free plan covers. Free tiers range from nothing, to a trial, to free forever.

Which type fixes your problem

If tasks pile up and never make it onto your calendar, pick a planner like Motion.

If meetings end and action items disappear, pick a notetaker like Saner.ai, Superlist, or Todoist.

If the follow-up work itself never gets done, drafts unwritten, tickets unfiled, emails unsent, pick an executor like Doozy, ClickUp, or Lindy.

Where the category is heading

Approval gates are becoming the default. Most executors now pause before external actions. MCP is turning into the standard way outside AI tools connect to task managers. Native meeting capture is spreading past dedicated notetaker apps. And BYO keys are starting to appear as an alternative to bundled AI pricing.

Frequently asked questions

Which AI task manager is best?

Depends on your problem. Planners (Motion) schedule. Notetakers (Todoist, Superlist) capture. Executors (Doozy, ClickUp, Lindy) do the actual work.

Is there a free AI task manager?

Doozy is free forever for up to five people with BYO keys. Most others have free tiers with limits.

Can I connect Claude Code to my task manager?

Most on this list have an MCP server. Doozy, Notion, and Todoist also have a CLI and API.

Do AI task managers ask before they act?

Most executors do. See the approval gate guide for the full comparison.

Which ones record meetings natively?

ClickUp, Lindy, Motion, Superlist, Taskade, and Doozy (system audio, no bot). Bond and Reclaim.ai need a third-party notetaker.

Which ones support BYO keys?

Doozy (free), Saner.ai, and Taskade (Enterprise only). See the BYO guide.

Which have configurable approval?

Doozy has the most configurable: safe defaults, per-agent, YOLO.
